Birth certificate - newborns

You must register the birth and the name of your child at the registry office. As soon as the birth has been registered, we can issue a birth certificate.

Course description

At the so-called initial certification, you will also receive three free birth certificates, which you can use to apply for child benefit, maternity assistance from the health insurance fund and parental allowance.

For births in a clinic: If your child is born in Munich in a clinic, midwife practice or birth centre, they will automatically take over the written notification of the birth ("birth notification") to the registry office. As soon as we have received the notification from the clinic (experience has shown that this takes eight days), you can apply for the birth certificate at the registry office.

For births at home: If your child was born at home in Munich, you must register the birth yourself at the registry office within one week. To do this, you must attend in person and bring a birth certificate from the midwife or doctor.

How to apply for the birth certificate:

You can apply for the birth certificate either online or in person.

Online order: You can order online using our online service. We will then send you the certificates by post. We will automatically enclose the three free birth certificates for your applications for child benefit, maternity benefit from the health insurance fund and parental benefit with the first order.

Personal application: You can also apply for a birth certificate in person (without ordering online) at the birth office. Please note our opening hours. The birth office in the registry office at Ruppertstraße 11 is always closed on Wednesdays (except for appointments made in advance).

Subsequent copies of the birth certificate:

If you require additional birth certificates at a later date, please contact the certificate office at the registry office or order the certificates using the online service.

Responsibilities:

For the Helios-Klinikum München-West, the Frauenklinik München-West (Krüsmannklinik) and for home births in the districts of Pasing-Obermenzing, Aubing-Lochhausen-Langwied and Allach-Untermenzing, the birth office in the Munich-Pasing registry office in Pasing town hall at Landsberger Straße 486 is responsible; for all other districts, the birth office in the Munich registry office in the KVR at Ruppertstraße 11 is responsible.

Required documents

  • Binding declaration on the naming of the child, filled in completely and clearly, without deletions and signed by the mother/parents.
  • Valid identity card, passport or travel document of the mother/parents.
  • Birth certificate, if necessary also in several languages or a copy/printout (certified) from the birth register of the mother/parents.
  • If applicable, the birth certificate of a common previous child.
  • If applicable, the naturalisation certificate of the mother/parents.

If the parents are married to each other, the registry office requires

  • Documentary evidence of the marriage and the name used in the marriage. This may include the marriage certificate, a copy/printout (certified) from the marriage register or a certified copy from the family register kept as a marriage entry.

If the parents are not married to each other, the registry office requires

  • Unmarried mother: if applicable, documentary evidence of the acknowledgement of paternity/declaration of custody already submitted.
  • If you wish to have the father entered in the birth register, you will need a legally valid acknowledgement of paternity (with the mother's declaration of consent). To do this, the father and mother of the child must appear in person at the registry office, youth welfare office or a notary. Documents required from the father: birth certificate, valid identity card, passport or travel document, if the father is or was married: marriage certificate, copy/printout (certified) from the marriage register or certified copy from the family register continued as a marriage entry, in each case with proof of the current name. The joint declaration of custody can only be submitted to the responsible youth welfare office or to a notary.
  • Divorced mother: documentary evidence of the marriage, the divorce and the current name. This may include the marriage certificate, a copy/printout (certified) from the marriage register or a certified copy from the family register continued as a marriage entry, in each case with a divorce note or with a legally binding divorce judgement, if applicable with recognition of the foreign divorce in matrimonial matters and, if applicable, a certified copy of the acknowledgement of paternity/declaration of custody already submitted (see above).
  • Widowed mother: documentary evidence of the marriage, dissolution and current name. This may include the marriage certificate, a copy/printout (certified) from the marriage register or a certified copy from the family register continued as a marriage entry, in each case with a note of dissolution or with a death certificate, if applicable a certified copy of the acknowledgement of paternity/declaration of custody already submitted (see above).

General information:

  • All documents must be originals; photocopies cannot be recognised
  • Foreign-language documents are required in international form or together with a translation by a publicly appointed and sworn translator or interpreter
  • It may be necessary to submit additional, conclusive documents for notarisation.

appointments at the registry offices can only be made at the registry office responsible for you. Therefore, please check which registry office is responsible for your request before booking. You can find out which office is responsible at the bottom of this page. If you book an appointment at the wrong registry office, your request cannot be processed there. In this case, the appointment must be cancelled or rejected on the spot.

German civil status certificates (e.g. entries in the family register, certificates of descent, family register transcripts and others) that were issued before 31 December 2008 are still valid and conclusive.
