Registry office documents from the city archives
You can order historical entries on births, marriages and deaths that are no longer kept at the registry offices from the city archives.
Description
There have been registry offices in Bavaria since 1876. All births, marriages and deaths are recorded there. In addition to the certificate issued for the person concerned, there is also the original registry office entry, which remains at the registry office and is bound into books, provided with name registers and stored there.
Records of baptisms, marriages and deaths were created by the churches in the church registers or registers of births, marriages and deaths before 1876. These can be found for all Protestant-Lutheran parishes in the regional church archives in Nuremberg and for Catholic parishes in the respective diocesan archives. The archives of the Archdiocese of Munich and Freising are responsible for Munich.
Since 2009, the registry office registers have been handed over to the city archives, which keep the registers permanently, according to certain deadlines.
- Birth registers: 110 years after the birth
- Marriage register: 80 years after the marriage
- Death register: 30 years after death
If you require a register entry for submission to an authority, it must be notarised. However, this notarisation is not valid indefinitely; in most cases it must not be older than 6 months. When ordering, please indicate whether the copy should be notarised.
If you have to submit a register entry to a foreign authority, the legalisation of the municipal archive is sometimes not sufficient and you will be asked to submit an international legalisation or apostille.
To do this, you must have the notarised register entry notarised again by a state authority. The government of Upper Bavaria is responsible for Munich. You can find more information on their website.
To obtain a birth, marriage and death certificate, the applicant must submit documents to the registry office. Some of these documents were not returned and can be found in the so-called collective files. In the case of birth entries, the documents were usually returned. In the case of marriage entries, the marriage licence file can be found in the collective files. The banns can contain the following documents:
- Birth certificates
- Marriage licence certificates
- Certificates of citizenship
- Documents relating to debts or convictions
- Divorce decrees from previous marriages
In the case of death entries, the notification of death may be included in the collective files. If the death was reported verbally to the registry office, this may be missing.
The volumes with the register entries are not handed over by the registry office to the city archives on a daily basis, but at the end of the year. This usually takes place in February/March of the following year.
Each registry office hands them over to the archive of its municipality, i.e. in the Munich City Archive you will find the register entries of the four Munich registry offices that existed until 1992, as well as the register entries of the Munich-Pasing registry office.
Register volumes that were created in the incorporated suburbs up to the time of incorporation are also handed over to the Munich City Archives.
